Understanding the Counseling Activity Breakdown and the Counseling/Training Activity Breakdown Scorecards
Both of these scorecards were designed by OutreachSystems. These two scorecards are identical with the exception of the clients that they include. The "Counseling Activity Breakdown Scorecard" provides a breakdown of clients that have been counseled only. The "Counseling/Training Activity Breakdown Scorecard" provides a breakdown of clients that have been counseled and/or trained. Both scorecards will only give data based upon unique clients. In other words, if Jane Doe was counseled three times, then her demographic information will only be included once in the scorecard.
Besides using different criteria to determine unique clients, the "Counseling Activity Breakdown Scorecard" additionally provides a breakdown of areas of assistance provided, as recorded on the counseling session record.
It is important to know that the Counseling/Training Activity Breakdown Scorecard can only provide breakdown information for events dated after 10/1/18. Thus, the Counseling/Training report will not provide complete information prior to the 2018 fiscal year.

Total Clients Counseled/Total Clients Serviced
The first section of the Counseling Activity Breakdown Scorecard counts the total number of unique clients counseled and the total number of prep + contact time spent with these clients. On the Counseling/Training Activity Breakdown Scorecard this section counts the total number of unique clients counseled and/or trained during the period. For purposes of this scorecard, a client with capital funding activity is considered to be a client counseled.
Keep in mind that this scorecard functions the same as all other scorecards, which means that the following criteria must be true in order for a session to be included in this scorecard:
- Have the Reportable? check box selected.
- The session/training date must fall within the reporting period.
- Be assigned to the counselor specified in the scorecard definition (only applicable if the scorecard's output is restricted to a single counselor).
- Be categorized under the funding sources specified in the scorecard definition.
- Be categorized under the sub-funding sources specified in the scorecard definition.
- Be assigned to the center (or one of the centers) specified in the scorecard definition
TYPE OF BUSINESS SERVICED
The second section of the Counseling Activity Breakdown Scorecard looks at the Business Type field for each client counseled. In particular, it breaks the clients down into these categories, with each unique client being counted only once, even if they were counseled multiple times:

If you want to individually break out these custom choices, then you will need to create your own line items to reflect your custom choices. |
No Response | Includes clients with Business Type: (Undefined) and Choose not to respond. |
BUSINESS OWNERSHIP GENDER
In this section, Neoserra gives a breakdown of the number of unique clients by business "Ownership Gender". It is important to realize that this section does not look at the gender of the contact(s) associated with the client record.
The line item titled: "Woman-Owned" includes all clients with a Ownership status of:
- EDWOSB Certified
- WBE Certified
- Woman-Owned
- Woman-Owned (WOSB) Certified
BUSINESS VETERAN OWNERSHIP
Similar to the previous section, this area focuses on the "Company Veteran Status" as tracked on the client record, not the contact's veteran status.
BUSINESS DISADVANTAGED STATUS
In this section, Neoserra gives a breakdown of the number of unique clients by business "Disadvantaged Status".
BUSINESS STATUS
In this section, the scorecard provides a count of clients who are in-business vs. those clients who have not yet started their business or who have closed their business. The calculations in this section are based upon the client's current "Company Status", not their initial business status.
BUSINESS SIZE
In this section, the scorecard will list all clients counseled based upon the "Business Size" as tracked on the client record.
GENDER
The next six sections in this scorecard will pull information from the primary point of contact record for each client counseled/trained. The gender section will draw from the "Gender" field on the primary contact record.
SEXUAL ORIENTATION
The LGBTQ+ line item is counting all clients who have any one or more of the following system-defined selections:

If you have added additional user-defined choices to either of these two fields, then you will need to update the scorecard to include these additional choices.
VETERAN
The veteran section will draw from the "Veteran" field on the primary contact record.
MINORITIES
This section draws from both the "Race" field on the primary contact record and the "Hispanic" field on the primary contact record. It is important to realize that the "Total Minorities" line item includes all individuals who identify as non-White, and/or who are Hispanic. A person who identifies as a Black Hispanic individual, may be represented in each of these two line items, however, they will only appear once in the Total Minorities line item. As such, you cannot add the individual line items together to get the Total Minorities total.
LMI
This section pulls from the primary contact record's HHS and HUD data. This information can only be reported if the contact's household size, household income/date and address information have been entered on the contact record.
AREAS OF COUNSELING PROVIDED
This section is only included on the "Counseling Activity Breakdown Scorecard" and this section counts the total number of unique clients counseled under each area of assistance. If a client is counseled twice on Business Accounting and once on Cash Flow Management, then they will appear once in each category.
