Understanding the Training Activity Breakdown Scorecard

Both of these scorecards were designed by OutreachSystems. These scorecards are intended to break down the nature of counseling and/or training conducted by your program.

TRAINING ACTIVITY

This first section gives some general information about the training activity that took place during the reporting period. For an event to be included in this scorecard, it is important to note that it should:

  • Have the Reportable? check box selected.
  • The reporting date of the training event must fall within the reporting period of the scorecard definition record.
  • The primary instructor on the training event record should be the same counselor counselor specified in the scorecard definition (only applicable if the scorecard's output is restricted to a single counselor).
  • Be categorized under the funding sources specified in the scorecard definition.
  • Be categorized under the sub-funding sources specified in the scorecard definition.
  • Be assigned to the center (or one of the centers) specified in the scorecard definition

This first section lists:

Total Training Events Calculates total training events that meet the scorecard criteria (not sessions).
Total Training Attendees (Non-Unique) Calculates total training attendees across all events. Jane Doe who may have attended multiple events will be counted for each event she attended.
Total Unique Clients Trained Calculates total unique clients that attended the events. This line item excludes pre-clients or contact-only records.
Total Training Hours Calculates actual training hours of the training events.

ATTENDEE BREAKDOWN

The second section provides a breakdown of unique attendees. If Jane Doe attended multiple events, she will only be listed as one woman. However, she may be listed in multiple categories if she is also a veteran and a business owner, etc.:

  • Currently In-Business
  • Business Start-ups
  • Venture (Non In-Business)
  • Business Owners
  • People with Disabilities
  • Women
  • LGBTQ+
  • Veterans
  • Service-Disabled Veterans
  • Reservist/Nat'l Guard Members
  • Military Spouses
  • Whites/Caucasians
  • Asians/Asian Americans
  • Black/African Americans
  • Hispanics/Latinos
  • Native Americans
  • Hawaiians/Pacific Islanders
  • Total Minorities

TRAINING TOPICS

The Training Topic section will only list the primary topic for each event. All user-defined training topics will be included in the "Other" line item.

RESOURCES PARTICIPATING

This section lists all the resources participating in your events. If you had multiple resources participating in one event, then each resource line item will be updated accordingly. In other words, if you had both the SBDC and the WBC participating in your event, then the event will be represented in both the SBDC line item and the WBC line item. Thus, totalling the resources participating line items may equal to a number greater than the total number of events conducted.

PROGRAM FORMAT

The program format lists the type of event you conducted, each event will only be represented once:

  • Matchmaker
  • Online Meeting (Live)
  • Online Course (Prerecorded)
  • Multi-session Course
  • Teleconference
  • Workshop/Seminar

CENTER PARTICIPATION

This section will identify whether the event was:

  • Participated by Center
  • Hosted by Center

FEES

This section totals the fees collected for your events:

No Fee (Number Collected) Counts total attendees who paid no fee or were given complimentary access to the training.
Total Attendees Paying Full Fee Counts total attendees who paid the full fee for an event. It specifically excludes no-shows and people who still have a status of payment-due.
Total Amount Collected from Attendees Paying Full Fee Counts total amount collected from full fee paid by attendees to your events.
Total Attendees Paying Discount Fee Counts total attendees who paid any one of the six different discount fees associated with an event. It specifically excludes no-shows and people who still have a status of registered or payment-due.
Total Amount Collected from Attendees Paying Discount Counts total amount collected from the six different discount fees paid by attendees to your events.
Other Income This line item adds up all the "Other" amounts manually entered into the training event records
Total Fee Income (Attendees+No shows) plus Other Income Counts total amount collected from the full and discount fees combined, paid by attendees, no-shows, or people with any other status. It also includes the "Other Income".
Total Amount Collected from Add-on Fee(s) (Attendees+No shows) Add-on fees tend to be applied to hard costs, such as lunches and materials offered during the event. As such they are listed as a separate line item. This line item counts total amount collected from any one or more of the add-on fees associated with the training events. The line item does not take the status of the attendee into consideration, thus fees paid by attendees and no-shows are both included.
Grand Total Amount Collected Counts total amount collected by adding line item: "Total Fee Income (Attendees+No shows) plus Other Income" to the line item: "Total Amount Collected from Add-on Fee(s) (Attendees+No shows)". In other words, this should be total monies received for all events during the reporting period.
