What does the "Prompt to synchronize clients and milestones?" global configuration do?

The Prompt to synchronize clients and milestones? option found in the "General Settings" area of the Neoserra global configurations promotes a synchronized link between client and milestone data. When this setting is selected, certain edits made to a client record will prompt the creation of a corresponding milestone record and vice-versa: the creation of some types of milestone records can prompt edits to a client record.

Activating this setting does not automatically create corresponding milestone records or make corresponding client record edits; rather, it throws up one or more prompts, as shown in the next graphic, that you must first respond to in the affirmative before the synchronization is performed.

Each question is independent from the other questions and you can choose to accept none, one or more of the updates to be made.

Note: OutreachSystems strongly recommends that, if your program uses milestone records, you take advantage of this configuration.

Client Edits that Prompt the Creation of Milestone Records

When the Prompt to synchronize clients and milestones? configuration is activated, users are prompted to create a new milestone record when the edits listed in the following table are made to an existing client record.

If the Date Established field... ...was previously blank, but then gets a date entered into it...  ...you are prompted to create a "Started Business" milestone record.
If the Company Gender field... ...is updated to "EDWOSB Certified" or "Woman-Owned (WOSB) Certified"... ...you are prompted to create an "EDWOSB Certification Obtained" or "WOSB Certification Obtained" milestone record.
If the Disadvantage Status field... ...is updated to "Certified SDB" or "SBA 8(a) Certified"... ...you are prompted to create an "SDB Certification Obtained" or "8(A) Certification Obtained" milestone record.
If the Organization field... ...is edited in any way... ...you are prompted to create a "Changed Legal Form" milestone record.
If the HUBZone field... ...is updated to "Certified"... ...you are prompted to create a "HUBZone Certification Obtained" milestone record.
If either the Part-time or Full-time Employees field... ...is edited in any way... ...you are prompted to create a "Change in Staff" milestone record.
If the Export-Related Employees field... ...is edited in any way... ...you are prompted to create a "Change in Export-related Staff" milestone record.
If either the Gross Revenues/Sales or Gross Export-Related Revenues/Sales field... ...is edited in any way... ...you are prompted to create a "Change in Sales" or "Change in Exports" milestone record.
If the Gross Profits/Losses field... ...is edited in any way... ...you are prompted to create a "Change in Profits" milestone record.

Milestone Record Types that Prompt Client Record Edits

Similarly, when the Prompt to synchronize clients and milestones? configuration is activated, users are prompted to make edits to the client record when the milestone record types listed in the following table are created.

If a "Started Business" or "Bought Business" milestone record is created for a client... ...you are prompted to update the client's Company Status field and associated Date Established field.
If an "EDWOSB Certification Obtained" or "WOSB Certification Obtained" milestone record is created for a client... ...you are prompted to update the client's Company Gender field and associated Certification Date field.
If an "SDB Certification Obtained" or "8(A) Certification Obtained" milestone record is created for a client... ...you are prompted to update the client's Disadvantage Status field and associated SDB Certification Date field.
If a "HUBZone Certification Obtained" milestone record is created for a client... ...you are prompted to update the client's HUBZone field and associated Certification Date field.
If a "Change in Full-Time Staff" or "Change in Part-Time Staff" milestone record is created for a client... ...you are prompted to update the client's Full-Time Employees or Part-Time Employees fields respectively.
If a "Change in Export-related Staff" milestone record is created for a client... ...you are prompted to update the client's Export-Related Employees field.
If a "Change in Sales" milestone record is created for a client... ...you are prompted to update the client's Gross Revenues/Sales field and associated Gross Sales Date field.
If a "Change in Exports" milestone record is created for a client... ...you are prompted to update the client's Gross Export-Related Revenues/Sales field and International Trade check box.
If a "Change in Profits" milestone record is created for a client... ...you are prompted to update the client's Gross Profits/Losses and associated Gross Profits Date field.
